Privacy Policy

SmartyMeet Sp. z o.o. (“SmartyMeet”, “we”, “us”) is committed to protecting your personal data. This Privacy Policy explains how we collect, use, and safeguard information when you use our AI meeting intelligence platform.

1. Data We Collect

We collect the following categories of personal data:

  • Account data: name, email address, company, job title, and password (hashed).
  • Meeting data: audio recordings, transcripts, summaries, and action items generated during meetings you connect to SmartyMeet.
  • Usage data: log data, IP address, browser type, pages visited, and interaction events within our platform.
  • Billing data: payment method information processed via our payment processor (we do not store full card numbers).

2. How We Use Your Data

We use your data to:

  • Provide, operate, and improve the SmartyMeet platform.
  • Generate transcripts, summaries, and action items from your meetings.
  • Communicate with you about your account, updates, and support.
  • Comply with legal obligations under EU and Polish law.

We do not sell your personal data to third parties.

3. Meeting Data & Recordings

Meeting recordings, transcripts, and summaries are processed on secure infrastructure within the European Economic Area. We apply end-to-end encryption in transit and at rest. Meeting data is used solely to provide the service to you and is never used for training AI models without explicit opt-in consent.

4. Third-Party Services

SmartyMeet uses carefully selected third-party processors including cloud infrastructure providers and analytics services. All processors are bound by data processing agreements (DPAs) in compliance with GDPR Article 28.

5. Data Retention

We retain your account data for the duration of your account and up to 90 days after account deletion. Meeting data (transcripts, summaries) is retained for the period selected in your account settings, up to a maximum of 24 months. You may delete specific meeting data at any time from your dashboard.

6. Your Rights (GDPR)

As a data subject under GDPR, you have the right to:

  • Access the personal data we hold about you.
  • Rectify inaccurate data.
  • Request erasure (“right to be forgotten”).
  • Restrict or object to processing.
  • Data portability.
  • Lodge a complaint with the Polish Data Protection Authority (UODO) or your local supervisory authority.
